Operations Coordinator

Position Overview

We are seeking a detail-oriented and proactive Operations Coordinator to join our Operations team. The ideal candidate will play a critical role in ensuring smooth day-to-day operations by supporting sales-related activities, including data entry, managing invoices/purchase orders, and customer coordination. A good working knowledge of MS Excel and common accounting principles is essential.

Key Responsibilities

  • Update and manage operational data, including purchase records and order tracking lists.
  • Handle customer onboarding and maintain updated customer records.
  • Coordinate with customers and internal teams regarding orders, deliveries, and related follow-ups.
  • Ensure timely and accurate processing of invoices and order documentation.
  • Maintain clear communication with customers and support order management processes.
  • Maintain proper documentation and filing systems for operational records.
  • Prepare professional correspondence, reports, and standardized business documents.
  • Monitor promotional and free issue allocations, ensuring timely updates and recordkeeping.
  • Generate and distribute daily, weekly, and monthly performance and sales reports.
  • Assist in preparing periodic operational summaries and revenue reports for management review.

Qualifications

  • Proven experience in an administrative or coordination role is a plus.
  • Proficiency in MS Office (Word, Excel, Outlook). MS Excel competency and understanding of basic accounting principles are essential.
  • Excellent organizational and time management skills.
  • Strong communication skills, both written and verbal.
  • Attention to detail and ability to multitask.
  • Familiarity with invoicing is a plus.
